Point of Sale and Menu Platform

We use Meadow for our brick and mortar storefront Point of Sale system and utilize their platform to

  • verify customer age,

  • verify customer’s State of CA Medical Cannabis documentation,

  • create a customer profile for order creation and checkout,

  • to communicate with customers,

  • and for quick check in for follow up visits.

We use Dutchie for our online menu and e-commerce platform. Customer information is used here to

  • verify customer age,

  • verify customer’s State of CA Medical Cannabis documentation,

  • create customer profiles and orders in Meadow,

  • to complete checkout for deliveries or pickups,

  • and to communicate with the customer.

By shopping at Vapor Room, you agree to our Terms & Conditions and our Privacy Policy, along with Meadow and Dutchie’s Privacy Policies.

We will never sell your personal data to a 3rd party or advertiser.

Vendor and Deliveries

Upon visiting the store, we ask any non-customers, such as delivery workers, vendors, brand ambassadors, regulators, and anyone else not otherwise checked into our POS, to check in via Envoy app. This information is kept on file in compliance with BCC regulations.

Website Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

Website Contact Forms

Our site may use contact forms that allow the user to send us a message. We collect a user’s name, email address and message which gets sent to social@vaporroom.com. We may also ask a user for their name, email address and phone number so that they can receive updates from us via MailChimp newsletters and SMS updates. See “Subscribe Forms”.

We use cookies to provide you with a great experience and to help our website run effectively.

Embedded content from other websites

We use Google Analytics, Search Console and Squarespace to gather website traffic data on our website.

Subscribe Forms

We use forms on our site and from Meadow and Dutchie to collect data such as Name, Email and Phone Number, Birthday and Interests so that users can sign up for our email newsletter and relevant SMS alerts. This data is sent to our lists at MailChimp and Hubspot.

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website, make a purchase in store or online, we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

What rights you have over your data

If you have an account on this site, have placed an order via our Dutchie menu, ordered in shop, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.
